Role Overview
We are seeking a detail-oriented Executive – HR & Administration to support U.S.-based employees and day-to-day HR operations. The role will focus on pre-onboarding, onboarding, HR administration, employee support, HRIS management, and compliance.
The ideal candidate will have experience with U.S. HR processes, strong organizational and communication skills, and a high level of confidentiality and attention to detail.
Key Responsibilities
Pre-Onboarding & Onboarding
- Coordinate background checks, reference checks, drug testing, and other pre-employment activities.
- Manage new-hire documentation, offer letters, onboarding checklists, and orientation activities.
- Coordinate with IT to ensure system access and equipment are available by the employee’s joining date.
- Partner with Recruitment to ensure a smooth transition from candidate selection through onboarding.
HR Administration & Compliance
- Maintain accurate and confidential employee records in the HRIS.
- Manage employment documentation, employee lifecycle changes, and separation documentation.
- Support compliance with applicable U.S. federal and state employment requirements.
- Assist with HR reporting, audits, and documentation.
- Ensure HR processes and employee records are completed and maintained accurately and on time.
Employee Support
- Serve as a first point of contact for employee HR-related questions and requests.
- Support benefits administration, including health insurance, retirement plans, and leave administration.
- Assist with employee engagement and performance management activities.
- Escalate complex employee or HR matters to HR leadership as appropriate.
HR Systems & Cross-Functional Coordination
- Maintain employee data and records in Paylocity and other HR systems.
- Coordinate with Recruitment, IT, Finance, and other internal teams on employee-related activities.
- Support HR reporting and ensure timely completion of recurring HR processes.
- Help identify and resolve administrative or process-related issues.
Required Skills & Experience
- 3–5 years of experience in HR Administration, HR Operations, Onboarding, or a related function.
- Experience supporting U.S.-based employees and HR processes.
- Working knowledge of U.S. HR practices and compliance requirements.
- Experience with HRIS platforms; Paylocity experience preferred.
- Proficiency in Microsoft Office Suite.
- Strong communication, organization, and time-management skills.
- High level of confidentiality and attention to detail.
- Ability to manage multiple priorities and work effectively with cross-functional teams.
Preferred Qualifications
- Bachelor’s degree in HR, Business Administration, Organizational Psychology, or a related field.
- Experience working in a U.S.-based or globally distributed organization.
- HR certification such as PHR or SHRM-CP is a plus.
